I'm guessing that this has been discussed on here, but a quick topic search showed that I really don't know what the best keywords to locate that topic would be... so feel free to point my dumb ass to it if it exists.
My wife and I are on the verge of heading to the west coast and I'm realizin' that my records have been accumulating while I've lived here in Madison. Curious if anybody has any tips for moving record collections cross country? Anybody run into any unexpected challenges / horrible outcomes that they could warn me against?
We're using one of those pod things that they haul on a flatbed. The fact that they're not climate controlled is probably my biggest worry, but hopefully my current packing strategy cuts down on risks of warpage: Using those triple-walled cardboard LP kinda boxes that LPs fit snugly into and packing them tightly. I think the records and our books are the densest items of the move and will be kept low to the pods level (with maybe clothes or a light layer of something on top... only if I can't get around that though). We're getting rid of almost all of our furniture (except book/record shelves and our bed, pretty much) so I think it'll mostly be boxes of this, music gear, kitchen stuff that'll be mingling in the hotbox. I also plan on stashing my most prized records in a DJ flight case thing for extra protection.
Hoping not to hear too many horror stories that will keep me white knuckled on the train trip to our new home, though I am morbidly curious...

I did this twice (Toronto-Vancouver and back again). Packaged them securely in boxes of 20-50, then put a few of those boxes into larger, well-padded boxes. Just sent the lot by Fedex the first time-- not cheap, of course, but worth the cost, since not a record was lost or damaged-- and by normal mail over a couple months on the return. Books I was happy just to box up and tape well.

Hadn't thought about FedEx, that might be a good option. Can I ask if you remember around how many total you shipped / around what that cost?

Sorry if this far from exact, but probably around 1000 each of 7" and 12" records. I honestly have no recollection at all of what it cost, but I'm in Canada anyways-- and to further complicate matters, I think it was actually UPS! Best bet would probably be to fill up one box, get the weight/dimensions, then extrapolate from that for your full collection. Any quote you got from that would probably be close enough to the total.

Right on, thanks for the suggestion! I'ma head over to my Math Chair and stew on it.

Dave moved his stuff from Iowa to the west coast by packing it himself into a sectioned off part of a semi. I think it was through this company: http://www.upack.com/ (they ship your stuff through ABF freight) I forgot all the details, but it was cheaper than a pod would have been. He has a LOT of records and they survived just fine (as did the rest of his stuff) and they were just packed in regular 12x12x12 record boxes.
He's got plenty of experience packing/moving and had a shit ton of moving blankets for everything else, so I guess that helped. He also did his move in April (it was hot here.. but probably not as hot elsewhere) As far as the fear of melting/warpage.. I guess doing a move in the middle of midwest heatwave would give me pause.

Does FedEx or UPS use climate controlled trucks?
-
Thanks Missy... That is the company we're getting our pod thing thru (er, "ReloCube"). Yeah, I might be checking on the FedEx / UPS climate control thing 'cuz it is DEADLY out right now, fuck me. Supposed to by high 90s straight through when we'll be loading up the cube. Might just have to brave the blaze tho'... the moving budget is pretty tight due to my continued consumption of LPs right up to the bitter end and a plethora of farewell drinking 'n dining.
I guess the fact that records I'm getting in the mail seem to be doing all right in transit in this shit, if I pack smart I should be able to dodge melty grooves.

Well keep in mind that his move was in April.... not during the middle of a heat wave. Good luck!

fedex/ups is not climate controlled, if anyone trys to tell you they are punch them hard

It has to get really really really hot for heat by itself to warp records. In the summer my apartment can get to be 100 inside and my records don't warp. The two ways records get heat warp is 1. exposure to direct sun and 2. prolonged exposure to heat and weight. If you stack boxes of records on top of each other and store them in a hot place, the weight will cause the records on the bottom box to bend and the heat will take advantage of that.
If you are shipping records with a moving company or in some pod, my advice is pack the LPs 50 - 100 per box, outersleeved and vert. Put them on a pallet or something which won't expose the bottom of the box to the floor of the truck bed (which often gets hot). Go single layer. On second layer stack shit that isn't heavy - 7"s boxes, boxes of clothes, linen, etc.

I shipped all my stuff (including records) back from Portland OR to Albany NY using Amtrak freight. Worked for me. It was June, no warpage.

damn, scott - get some AC, bro!

Awesome advice... Yeah, Scott, what made me most worried in the first place was seeing a post of yours somewhere about some S-S recs that you had to get repressed 'cuz they shipped 'em in 100+ heat w/ heavy shit on top. I'm gonna avoid that combo for sure. The bottom layer heat buffer is a great idea, I woulda missed out on doing that. So much for my goddam engineering degree and multiple classes w/ heavy heat transfer components.
Amtrak freight, huh? Shit, I'm taking the Amtrak out there but might just be too late for me to plan that... I'm starting to think I might haul my most precious flight case stuff w/ me at least. Pod arrives tomorrow. Gonna get everything securely loaded before polishing off the orphaned booze in our household and enjoying a night in flopsweat amongst the displaced spiders.

Turns out that the shipping company the plant was using was stacking pallets on top of mine!
I was gonna advise just carrying your treasures with you but that is kinda obvious.

there are companies that rent trucks that are refrigerated as I have used them to transport large amounts of food products, you just have to ask, and it is expensive, but better than replacing a bunch of records that may warp......
-
Dumb idea. Refrigeration = moisture = mildew.

I double boxed my records (some 14x14x14...in which case I used styrofoam or bubble wrap as extra padding) I had around 4 or 5 boxes. Shipped it USPS media maii and insured each box to $200. Whole thing cost me maybe $80? in 2009. It was sent from CA-NYC mid june. No damage or anything. It even got to my new place faster than the FEDEX shipment I had sent.
FedEx ground will cost you around $1/lb. Cheap way to move. If you start an account with them, you can order a pick up too and they'll come to your house. If you do that, be sure to prepare to wait a whole day though.

FedEx > UPS
UPS tend to play soccer with their packages more than FedEx - definitely been way more breakages by UPS over the years.

And if your shit shows up fucked up DO NOT SIGN FOR IT.
Those dicks will try to convince you to sign for it anyway, which makes it a LOT harder to file a claim. (dealt with this a LOT when I worked for an online retail company. They would tell the customer that it must have been damaged prior to shipping, and that they should call us to complain)

I don't think anyone's tree-shaded apartment in Sac gets to be 100 on the inside.

tree shaded on the north side, not the west side!

i don't agree with this and i'm from memphis, i see them both at work and fedex gound is much worse then ups
-
My record sleeves get delivered FedEx ground and I count on tossing out 10% due to damage.
My Revolver and Forced Exposure orders are delivered UPS and never have a problem.
-
not sure if there's been a more recent thread, but i'd be interested in other testimony re: pods (and similar services)
i unfortunately have a july move and am deciding between a box, shipping via amtrak, or just renting a trailer

If anybody would like to split the cost of a truck & driving responsibilities, I'm going to be moving about 20,000 records from Northern California back East in the Fall. PM me if ya wanna.
-
Make sure you load the truck evenly. I moved about the same number of records twice- Seattle to Michigan and then Michigan to Chicago. The cross country load was visibly unbalanced. Not only did some shit get smashed, but every time I parked I worried about tipping over.

Yeah, sadly, I've got this dance down. So over it. So looking forward to taking the Big Dump.
